GRADUATION AND TRANSFER SERVICES
I. DESCRIPTION OF UNIT
A. Brief statement of your mission, goals and
values.
The mission statement of the
Graduation and Transfer Services Department is as follows:
“We support and encourage the
advisement of all students. We enjoy the
opportunity to help students by providing accurate information to complete
their educational goals in a positive and caring atmosphere where student’s
individual needs are met.”
The Graduation and Transfer
Services Department is the Central Graduation office on UVSC, as well as the
Transfer Evaluation Office of all in-coming transcripts. Other areas in our office include programming
and maintaining the Degree Audit System, Articulations, and Veteran Services.
Graduation: The Graduation Office is a central final
approval office for all students seeking graduation from UVSC. This service includes meeting with each
graduation candidate to review and approve their completion of all UVSC Graduation
requirements including courses, and other requirements; notifying students,
departments, and/or advisors regarding missing requirements; applying
substitutions or waivers from the advisors to each student’s graduation
requirements; the actual awarding of
degrees and honors through the computer;
the production and distribution of the completed diplomas; and the creation and
maintenance of several reports used throughout the campus community.
Transfer Credit Evaluation:
All transcripts received from other institutions of higher education are
received by the Transfer office. Each
document is imaged into the computer
system, and then manually entered into the student’s record in the computer.
Each course is evaluated as to content and rigor and either equated to a
course by the staff, or sent to the department for evaluation. Once the evaluation is made, the course is
entered into a table in the computer to assist evaluations for the next time a
different student has that same course.
These tables are updated annually with our changes, as well as each
college catalog for all institutions in Utah are reviewed to reflect any new
courses, or changes to their curriculum.
Students may view their transferred credit through the college On-Access
or they may meet with the Transfer Advisor and review their credit. Updates to the college Advanced Placement and
CLEP testing policies are also coordinated and facilitated through this office
annually.
Degree Audit: The college wide degree audit system
(On-Course) is created and maintained in this office. Each year there are several hundred changes
to courses, and degrees at UVSC. All of
these changes need to be updated in the degree audit system to maintain
accuracy. This office also maintains the
correct majors for students by moving
students to new degrees when titles, schools, or degree types change. There are changes every year to at least one
program requiring a mass change of
students majors.
Articulations: This office
maintains all articulations between UVSC and other institutions of higher
education. The Director of the
department has been given the charge to be the college Articulation Officer,
and sits on the statewide Board of Regents State Articulation Committee. The state Articulation Guide is maintained
and updated in this office each year.
There are currently 65 articulations with different schools due to
UVSC’s Global Aviation program
alone. Articulations are also
maintained not only for students transferring into UVSC, but also transferring
out, such as to Brigham Young University in Provo, Utah.
Veteran Services: Services
are provided for students receiving veterans educational benefits. Theses services include the monitoring and
certification of courses toward their declared major. The Veteran advisors work with each student
to make sure they receive all the course credit possible for previous
educational endeavors, as well as, taking the shortest route possible for their
intended degrees. The advisors are able
to help students or refer students to the proper student services available
across campus. They work closely with
the standards office on campus to make sure their students are successful. Each dropped or withdrawn course is reported
to the Veteran’s Administration as quickly as possible to alleviate the student
receiving any overpayments for course work not completed.
B. Relationship of Unit Mission, Values, Goals to Overall UVSC
Mission
The Graduation and Transfer
Services mission coincides well with the overall UVSC’s mission of “...attaining their goals and realizing their
talents and potential, personally and professionally.” The Graduation and Transfer Services mission
includes a commitment of “providing
accurate information to complete their educational goals in a positive and
caring atmosphere.” UVSC and the Graduation and Transfer Services
office share the goal of meeting students’ “transfer education” by providing up to date and accurate transfer
evaluations and articulations with other accredited institutions of higher
education.
C. Interaction of your unit with other units on
campus or between campuses.
The Graduation and Transfer
Services office interacts with most offices across the campus. The needed clearance is supplied by this
office for Advisors of transfer students before advisement may be delivered to
new transfer students. Also, the degree
audit system is available for the use of all academic departments to advise
students on their particular degrees.
Advisors and department chairs contact this office for policy and
procedures questions. Financial Aid uses
the degree audit and Graduation status to indicate their academic progress
toward a degree. The Graduation and
Transfer Services office meets twice a month with a “cluster” team made up from
the offices of Admissions, Records/Registration, Recruitment, Financial Aid,
Instant Info, and the Cashier’s office to disseminate information and keep up
to date with any changes. Veterans
services works closely with each academic department on campus in the efforts
to monitor their students progress toward their goals. Students are also referred to various offices
on campus to include the Wellness Services, Accessibilities Services, Math and
English Labs, and various other programs on campus as appropriate.
