How to download class files from the College Testing Center webpage and import them into MicroGrade
  1. You can access your class list to download into MicroGrade  through  UVSC’s Web Page by Opening Internet Explorer to the UVSC home page and clicking on Students then Testing Services (CTC), and then Faculty Options. 
  2.  That brings you to the screen that asks for the Faculty ID number which is your SS#.  The password is 9999.  You must remake your password,  but it has to be 4 Alpha digits and one or  more numerical digits.   You than click on return and put in your SS# and new password. (If you have used  the system before and do not remember your password or if you are a new faculty member, please call ext. 8865.)
  3.  Click on the Class Roll-no scores button.  Pick your subject from the pull down menu, than add your course number (4 digits) and section number (this must be 3 digits long and is case sensitive if a letter is in it) and click on submit.  Leave the SS# on the default.  After submitting choose Save File, the download will complete.  Exit your browser, find the file just saved and RIGHT click your mouse over the file name (classroll.pl), and rename the file to your class name and replace the .pl extension with .txt. 
  4. Examples: rename classroll.pl to nurs101.txt or save it to the desktop by giving it a new name (8 character limit).    Or you can save it directly to your C:\Micrograde directory.
  5. Open  MicroGrade 5.0.6 and click on New Class, then Experienced User. 
  6. Next, click Students. In the pull down menu select Import Students, then User Defined.
  7. Using the directory that comes up navigate to the file that you downloaded and renamed. Highlight the file you want to import and choose open. 
  8. After selecting the file, you will get a dialog box entitled Select Import File Data Format.  Accept the default values and choose Continue.  If the Select Import File Data Format box dose not come up repeat steps 4-7.
  9. The next step is to match the data information with the correct fields. The highlighted line is the student’s SS#.  From the Import Fields drop down menu select ID (select the down arrow in the bottom right corner of the Select Import File Data Format box).  Now choose Last Name for the second line, First name for the third line, and middle name, if one is present, for the fourth line.  Now Click OK.
  10. If you see the Automatic ID’s is selected.  Replace ID’s in Import file?  box, Choose No.
  11. Next you will see an Import Complete box.  Check the number of students processed.  You should have an error message (?, ?, ,:Last name required) Just ignore it if it is one line. If there are students names you need to go back and add these students. Then you can click Finished.
  12. Congratulations!  Students names and SS#’s have been imported.
