UVU EMPLOYEE EMAIL MIGRATION FACT SHEET Updates in red
- MIGRATION IS UNDERWAY
- FOR MIGRATION INSTRUCTIONS SEE http://myemail.uvu.edu/
- When will I be able to start using my new uvu.edu email address and system?
For individuals, in May 2008. Groups or generic accounts are available now. To request the generic accounts, please email it@uvsc.edu with your request. Communications will go out campus wide when the new addresses and system are available with instructions on how to access them.
- How long will I be able to receive email using my uvsc.edu email account?
For at least 5 years. During that time, you will have the choice of when you want to stop receiving them. The plan is to have a system that will give users the control of forwarding/moving their uvsc.edu email to their uvu.edu account or just reject uvsc.edu email. This will be your choice. However, no new email to uvsc.edu will go to the old account once the system is implemented. By default, the messages will be forwarded to your new uvu address and marked so that you will know which ones came to the old address.
- What will my new address be?
Your new email address will be, by default, the same as it currently is - sixlastnametwofirstname@uvu.edu and the firstname.lastname@uvu.edu . There will be flexibility to choose an additional email name but that request will go through an approval process unless it meets certain pre-defined standards. You will have to choose which email address is your outgoing address (there is only one outgoing address).
- I am getting new business cards or preparing printed materials for next year. What should I do?
If the materials will be published before you are using your new address you should list your current email address. If it is a group account such as it@uvsc.edu, please contact IT regarding the request. Please order limited materials where possible until you are using your new address.
- How long will the old uvsc.edu email system be available and how long will I be able to access my old emails?
Until early 2009 when the old system will be turned off. Since retention policy only keeps the email 135 days, all email in the old account will be gone by then anyway.
- What should I do to notify everyone in my address book of the change of email address?
Additional information will be published later on this issue. There are good ways and bad ways to do this. We are currently evaluating tools and methods and we will publish instructions on the best ways and provide some tools for this.
- Will my login/ID be changed?
You will login using your UV ID and password.
- Will we be staying with GroupWise?
Yes. This has been discussed in the major IT committees and it was felt that it is not a good time to change. We evaluate the email system options every three to five years. If you would like to be involved in the next evaluations please let us know. Rationale is available upon request from it@uvsc.edu. If you are having problems using GroupWise or have features that you are looking for please contact it@uvsc.edu for training materials and sessions.
- I have a uvscnet.com account. Will that be changing also?
uvscnet.com will have a similar conversion but details have not been finalized yet. This will happen later on during the year.
- I am currently syncing to a PDA/phone. What will have to be done to it to get the new email and calendar?
Some devices will have to be re-programmed and then synced to the new system depending on the system and how you are currently accessing email and calendar.
Note: Rules, address books, old emails, calendar items, to do lists, archives etc. will have to be moved, migrated or re-created in the new system. We will have instructions/tutorials on this later this summer.
